This information mainly pertains to conventions, conferences and tradeshows, which are typically booked
several years in advance, and to consumer shows, meetings and banquets. Concert, sports, family show,
theatrical and other live entertainment promoters and production staff should go to the
Information for Promoters sections of this website.
License Agreement
The License Agreement is your contract with the Wisconsin Center District to provide specified facilities
and services on the dates of your event. Your assigned Sales Manager will draft the appropriate License
Agreement, which is a binding contract once it is signed and executed.
Insurance
All events in Wisconsin Center District facilities require at least a $2,000,000 combined single limit public
liability "Evidence of Insurance" certificate. An example of an "Evidence of Insurance" certificate is
shown on the next page; it is based on the recommended Acord® Form #27S. Note that it is NOT the more
common Form #25 General Liability certificate; we recognize that our requirement is unusual, so don't
hesitate to refer your agent directly to Ruth Bock, our License Coordinator, at 414.908.6070 or
rbock@wcd.org for explanation.
Deposits and due dates
A non-refundable deposit equal to 25% of the base rent for conventions and tradeshows is due no later than
30 days after the date a license agreement is drafted and the event enters "booked" status. Final payments
and insurance certificates are due at least 60 days prior to the event. License agreement and deposit
requirements for conventions, tradeshows, meetings or consumer shows booked less than six months before
the event will be determined at the time a commitment is made to use Wisconsin Center District facilities.
Cancellation
We want your event to succeed and will work with you to avoid a cancellation situation, but if you
cancel your event after rendering a deposit to us, all deposits and payments are retained by the Wisconsin
Center District.
Event Services Manager
An Event Services Manager is assigned to all booked events, and is your chief operational liaison with the
Wisconsin Center District throughout the event process, from early planning to final bill settlement. The
Event Services Manager will assist in planning, advise you of costs, help coordinate food and beverage
service, and be on site during the event. Our Event Services Managers have complete decision-making authority
regarding Wisconsin Center District facilities, staff and equipment, and are committed to helping your event
succeed.
Please forward any draft material to your Event Services Manager for review and suggested changes. Your
exhibit floor plan and/or staging diagrams must be approved by the Director of Event Services prior to
reserved ticket sales, booth rentals or similar actions. We recommend adding your Event Services Manager
to any event-related mailing lists to monitor items relating to Wisconsin Center District facilities.
Event Managers Sourcebook
An operational resource called the Event Manager's Sourcebook is supplied to all clients, and is loaded with
useful reference information which should answer most operational questions which might arise. It's much more
than a manual; in fact, we don't know of any facility that offers such comprehensive information in such
an easy-to-use format, and recommend perusing it carefully to learn some of the ground rules as well as
ways we might assist you.
Exhibit Hall Rental
Rental fees are charged according to the greater of the daily rental figure or the net square footage
figure. Net square footage consists of the actual commercial display area less aisles and corridors.
Registration space and show offices are provided at no extra cost, subject to availability. A final floor
plan showing exhibit booth configuration must be submitted to the Director of Event Services for approval.
Meeting Room Rental
Meeting room rental includes the initial set-up and tear down of the room set including chairs and a
skirted head table on a dais, one daily cleaning, standard 120V AC electrical power from permanent
outlets, and complimentary water service on the head table. Additional set-up costs, including change
overs and alterations to original room set-up, will apply. Every rental includes one complimentary
podium with one complimentary microphone and easel in one meeting room; additional equipment may be
rented at prevailing rates.
Banquet and Food Function Rental
Banquets, luncheons, receptions and other food & beverage functions that are not part of a larger event
may be booked through Fine Host Corp. at 414.908.6150 or Jstockholm@wcd.org. Room rentals
for food functions may be subject to a rent waiver based on food and beverage expenditures surpassing
specified minimums. Whether your food function is "stand-alone" or a component of a larger events,
a Fine Host representative will work closely with you and your Event Services Manager.
Open Loading Dock
The Wisconsin Center District maintains an "open loading dock" policy, which provides both show management
and exhibitors significant freedom to use their own labor or hired services to unload equipment from trucks
and to set up and dismantle exhibits and other show equipment. Events that use a decorator should be aware
of how the decorator contract may affect the exercise of this policy.
Security
Security has always been a high priority for the Wisconsin Center District, and remains so, now more than ever.
The Wisconsin Center District's Public Safety Department has a very close working relationship with local,
state and federal law enforcement, public safety and emergency management officials, and our security
operations are continuously reviewed and improved.
We provide 24 hour fire watch and building security. Event security or exhibit surveillance are not included
in rentals, but extra security services are available on an hourly rate basis. Security firms or individual
security guards used in Wisconsin Center District facilities must be licensed by the State of Wisconsin,
show proof of appropriate insurance, and be approved by your Event Services Manager.
No one other than an on-duty law enforcement officer may possess a weapon on Wisconsin Center District
premises. Anyone found to possess a weapon may be reported and prosecuted to the fullest extent of the law.
Marketing Services
We want to help bring your event maximum exposure. We can provide media contacts, press releases, advertising
discounts and other services, and we will promote your event on website, in our printed Events brochure,
on our 24-hour event information phone line and outdoor electronic signs, in the Greater Milwaukee
Convention & Visitors Bureau Calendar of Events, and through other in-house and outside media. We can
also offer volume rates for advertising in the daily Milwaukee Journal-Sentinel.
